We’re seeking an experienced, high-performance Executive Assistant to support the CEO and founder. This role is integral to protecting the CEO’s time, driving execution on critical initiatives, and ensuring operational clarity across both business and personal domains.
You’ll serve as a strategic partner—managing communications, schedules, projects, and priorities with discretion, speed, and precision. The ideal candidate has experience working with founders or C-suite leaders in fast-paced, high-accountability environments and thrives when given ownership over outcomes.
This is not a traditional support role. It requires exceptional judgment, proactive problem-solving, and the ability to lead through influence. This role is for someone who thrives in high-leverage environments, where every decision, calendar move, or communication shapes the executive’s ability to focus on the business. You will be trusted to make judgment calls, own workflows, and act on behalf of the executive when needed. Your work will enable the CEO to operate at peak capacity—by ensuring the right things happen, at the right time, with minimal friction.

🔹 Responsibilities:
1. Executive Operations
Manage and proactively optimize the CEO’s calendar 3+ months in advance, coordinating across departments and personal obligations.
Act as a strategic gatekeeper—filtering requests, resolving conflicts, and ensuring alignment with CEO priorities.
Prepare agendas, background materials, and meeting briefs; follow up to ensure stakeholders are prepared and aligned.
Monitor and manage CEO inboxes, Slack channels, and incoming speaking inquiries.
Handle a range of business and personal tasks, including errands, household coordination, and office upkeep.
Attend internal meetings, take detailed notes, and ensure seamless follow-through.
Maintain regular check-ins with the CEO to ensure momentum on key deliverables and tasks.
2. Time & Task Management
Track and prioritize all executive tasks and deadlines using Asana; update and follow through autonomously.
Anticipate scheduling issues and resolve potential conflicts before they arise.
Continuously improve workflows, removing bottlenecks to protect CEO focus and decision-making bandwidth.
3. Communication & Representation
Draft, proofread, and edit all written communication with precision and tone alignment.
Represent the CEO with professionalism and discretion in all internal and external interactions.
Serve as a cultural ambassador, embodying company values in every conversation.
Respond promptly via Slack during business hours (within 2 minutes).
4. Project & Initiative Management
Coordinate and manage strategic initiatives, ensuring deadlines, follow-ups, and accountability.
Own ad-hoc projects end-to-end, including travel logistics, speaking events, and media production.
Provide clear instructions and updates to stakeholders; ensure project visibility and status tracking in Asana.
Lead quarterly planning coordination for the Strategic Team and other key leadership cadences.
5. Operational Rhythm & Strategic Flow
Coordinate quarterly planning and offsite prep for the Strategic Team.
Anticipate obstacles and present vetted solutions before problems reach the CEO.
Maintain total discretion and confidentiality on all personal and professional matters.

Available outside of 8-5 working hours;
Available to be on-call as needed;
Weekend coverage rotates

🔹 Requirements:
5+ years in a high-level support role to a founder/CEO or operator in a fast-paced, high-growth environment
Proven experience managing executive comms, calendars, and special projects
Advanced proficiency in office software, calendar management tools, and project tracking platforms.
Skills
Exceptional written communication and judgment—able to ghostwrite and interpret tone
Master of logistics, coordination, and executive-level time management
High EQ with the ability to hold context and protect the CEO’s mental bandwidth
Traits

Location & Working Arrangements
Based in South Africa with the flexibility to accommodate United States time zones as needed
This is a remote position with occasional travel for company events or strategic meetings
Availability for urgent matters outside standard business hours when critical situations arise
Strong internet connectivity and professional home office setup required
Competitive monthly salary* of $1,500- $2,500 with lots of room for growth
